Documents to Review Before Choosing an Ayurvedic Manufacturer: A Checklist

Documents are where claims meet evidence. A manufacturer can describe its quality and capability in glowing terms, but the paperwork is what lets you check. This article lists the categories of documents worth reviewing before you commit to an ayurvedic manufacturer, explains what each one proves, and — importantly — where you should verify requirements independently rather than take anyone’s word.

A note before the list: document requirements depend on your product type, your markets and current regulation, and they change. Treat this as a guide to what to ask for, and confirm the legal specifics for your situation with a qualified professional.

Company and identity documents

These confirm you are dealing with a real, registered business at the address it claims.

  • Business registration and the legal name.
  • The address and details of the manufacturing unit.

What they prove: that the company and its facility exist and match the profile. A basic but essential check.

Licences and approvals

  • The manufacturing licences relevant to your product type.
  • Any approvals required for the markets you intend to sell in.

What they prove: that the manufacturer is permitted to make your kind of product. Confirm these against your specific product and destination markets — a licence for one product category does not automatically cover another.

Product specification documents

  • The specification sheet for your product — the definition of a good unit.
  • Where relevant, the formulation details appropriate to share.

What they prove: that there is an agreed, written standard your batch will be made and judged against. Without this, “quality” has nothing to measure it by.

Quality and testing records

  • The certificate of analysis for a finished batch.
  • A description of what is tested on incoming materials, in process and on finished goods.

What they prove: that the quality system is real and running, not just described. Ask whether you receive the test report with each batch.

Traceability records

  • Batch records that link a finished batch to the materials in it.

What they prove: that a problem could be traced and contained to one batch rather than becoming a brand-wide issue.

Commercial documents

  • An itemised quotation.
  • The supply agreement or terms, covering responsibilities, timelines and payment.

What they prove: that the commercial relationship is clear and that you have something to rely on if a dispute arises.

How to use the checklist

You will not always receive every document upfront, and some are shared only once you engage seriously. What matters is the manufacturer’s attitude: a credible partner is comfortable showing specifications, test records and licences for your product type. Reluctance, vagueness or “we’ll sort that later” on the fundamentals is a signal worth heeding.

Pair the documents with a sample. Papers tell you the system exists; the sample tells you it works.

Frequently asked questions

Which documents should I ask for first?

Start with identity (registration, unit), the licences relevant to your product, a specification sheet, and a finished-batch test report. These four tell you quickly whether a manufacturer is credible.

Can I rely on certificates alone?

No. A single certificate reflects one batch at one time. Combine documents with a sample and, where you can, a facility visit or video walkthrough for a fuller picture.

Confirm them with a qualified professional for your product type and markets. Requirements vary and change, so treat any general list, including this one, as a starting point rather than legal advice.
